Lacy Takes the Calls You Cannot Get To

A missed call is a job somebody else got. You are under a machine, or driving, or at a kitchen table with a customer, and the phone rings. Lacy answers the calls you cannot get to. She has been taking real calls for a few weeks now and she is always learning, so tell me what you hear.

Want to hear her before you decide? Call the demo line at (813) 303-9240 and book a fake job from wherever you are — she will take it like a real one. Prefer a person on the line? We also work with My Office Help, so if you use them and are looking to move to a new CRM, they already know their way around this one.

☎️
After your rings, not instead of them
You set how many times your own phone rings first. Hers is the voice that picks up only when nobody else did, so she never beats you to a customer. Set it to zero and she answers straight away.
🗣️
She says she is an AI, then takes the booking
First breath: she is the shop’s AI assistant. Then the brand, the model if they have it, the address, and a real slot on your calendar — the same slots you would have offered. One customer, one upcoming visit; she will not double-book someone who already has one.
📋
A warranty dispatch stays straight
If a warranty company calls, she keeps the payer, the claim number and the homeowner separate, and the job lands tagged the way you would have tagged it.
💰
She quotes your price, never hers
Tell her your service-call rate and she quotes it — flat as a diagnostic, or per machine for their machine. Leave it blank and she does not guess. She never invents a price or an arrival time.
📞
Ring every phone you have gotBusiness line
Give the office line and the truck both, and a forwarded call rings them together. First one to answer gets it, and the other stops ringing. Lacy only steps in after all of them.
AI Dispatch — $65/mo for 1–2 techs, $95/mo for 3–5

Lacy answering, AI text-back and dispatch, with a business number included or the one your customers already call ported over. It sits beside the CRM. It is prepaid, not part of the free trial, because a phone number and AI minutes cannot be handed out for free. See it at applianceops.pro/ai-answering, or reply to the newsletter and I will switch it on for you. No number yet? Say that too and I will set your line up.

Your Books Keep Themselves Now

Finish a job, and the invoice is in QuickBooks before you have put the van in gear.

🧾
A completed invoice goes to QuickBooks by itself
No switch, no export, no end-of-week pile. Close the job and it is in your books — parts as parts, tax as the tax the customer paid, and the card fee on the payment that collected it instead of a mystery line on the customer’s copy. Reopen and re-close a job and it updates the same invoice rather than making a second one.
🏛️
A tax rate for every town you work in
Some of you charge a different sales tax per city, and some jobs are exempt. Add your named rates once under Settings → Rates & Fees. A new customer in that town starts on the right rate, every invoice offers the list or a custom number, and Reports → Money shows sales tax by rate for the accountant — exempt jobs counted, not lost. A flat-rate service can tax only the parts inside it.

One Box Searches the Whole Shop

A name, a phone number, half an address, an invoice number, a model, a serial, a part number — the box at the top of the screen finds everything that matches as you type, across customers, jobs and parts. Ask it a question instead and the assistant answers. Customer pickers now search every customer you have, not just the first few hundred.

The Calendar Works Under a Thumb

Most of you run the day from a phone, and the calendar was built for a mouse. Three fixes from one shop’s feedback.

📱
Press and hold to move a job
Hold a job for a moment and it lifts; drag it to the slot or the day you want and let go. The length of a job comes from its “How long” box, so nothing resizes under a finger by accident.
👈
Swipe for the next day
Swipe left or right to move a day, a week or a month, and the view you picked last is the one that opens next time.
📅
The day reads in clock order
A 9 AM job never sits under a 10 AM one, and a finished job is frozen on the calendar so it cannot be dragged by mistake. Time that is spoken for — a parts run, training, the gym — goes on the calendar as a block that is nobody to text.

Record Your Own Greeting

🎤
Your voice, not a robot’sBusiness line
Record the greeting callers hear, in your own voice, from Settings → SMS & Comms. One for hours, one for after hours. A voicemail now alerts you and texts the caller the moment the recording lands, with their words quoted back in the opener — and the opener is yours to edit.
📞
The phone page knows who is callingBusiness line
Voicemails play right there, a tap on a number fills the dial box, calls show the clock time, and an outbound call matches the customer by number rather than by whoever shared a first name.

Need a Second Opinion on the Business?

I spent about twenty years in the trade and twenty running businesses before I built this. If you are working through pricing, a hire, a warranty company that will not pay, or whether to buy that second van, reply to the newsletter or text me at (661) 779-9091. Not a sales call, and nothing to buy — just an owner who has been where you are.

Small, and You Will Feel Every One

Each of these came from a shop telling me. Most were live within a day.

See Something, Say Something

$20 for Every Shop That Signs On

$20
Once they pay month one

Know another shop owner who’d like this? Have them put your shop’s name or email in the “Were you referred?” box when they sign up. Once they pay their first month, you get $20 — no cap. They get a full month free instead of two weeks, and we waive the Business Line setup fee if they want a phone (they still cover the number itself).
